Hiring Check-In Staff for Chicago Events
Check-in staff at the time of booking doesn't have to be drawn out or complex. When you contact us, we discuss your event, guest flow, and staffing requirements; you then have a clear picture of what to expect moving forward.
Provide Your Event Details
Tell us your location, how many guests you're expecting, the date of the event, and either the check-in system or the list format. That's enough to get rolling, and we'll use it to create the right staffing plan.
Shortlist Your Staff
We'll gather a team to suit your event rather than hand you what's available. You choose – each option made for the format, audience, and language your event needs.
Team Implementation
Getting your team in place is just the beginning; we keep everyone on schedule by sharing your guest list and VIP list with all your staff members in advance of opening.
In-Event Management
Your team arrives early to help set up and will stay until the last guest has been greeted. We are accessible the day of as well as before the event, so last-minute adjustments can be made with ease.
Unparalleled Support & Professionalism
We’re not just another event staffing agency, but a trusted partner who carries the complexity of handling massive events with sheer dedication and excellence. We maintain top-notch quality and luxury standards that make all the difference between us and other average firms.
| Luxe Event Staffing Standard | Industry Standard |
|---|---|
| Selection Process | |
| Auditioned, Not Just Interviewed::A polished interview doesn't show how a candidate acts when the line is out the door. We subject candidates to realistic desk situations before they're even in the Chicago line-up. | Hired on Availability:Many agencies are booking shifts with whoever is the first to respond, regardless of the type of background. |
| Desk Hours Already Logged: Every Chicago team member has done registration, will-call, and guest arrival before. No one is growing the fundamentals at your event | A Trial by Your Event:First-time check-in newbies step into it in front of your guests, with no safety net. |
| Pre-Event Preps | |
| Finalized Guest Lists: Lineups, VIP notes, and unexpected requests arrive at your desk days in advance, allowing your team to learn names and prepare for difficult arrivals. | A Last-Day Handoff:The staff read the plan the same morning and don't have enough time to process all the information. |
| The Room, Mapped in Advance:We walk through the check-in zones, the hallways, and the hotel lobby, the lakeside tent, or the convention center hallway in advance. We know where the lines are to form and where to direct the guests to go next. | A Blind Walk-In:If there's no walkthrough, then the first guests will be the trial run to determine the setup. |
| Execution & Discretion | |
| Line Following Pace:A slow pace and a fast change require different treatment. Our people get in and out of the steps on their own without requiring guidance. | Single Gear Only:Untrained staff work at a fixed pace, regardless of what the line and guests are actually doing. |
| Names and Notes Remain Confidentia:Guest info, VIP notes, and guest info are only provided to those who require the information for the specific task. | No Privacy Guarantee:Standard staff is seldom briefed on discretion, jeopardizing the privacy of high-privacy guests and the security of corporate information. |
| Accountability | |
| A Captain in the Room:A senior staff member remains on site adjacent to the desk throughout the event, jumping in when a line appears to be slowing. | Self-Managed Teams:Clients are often left to manage the agency staff themselves, creating more stress on the event day. |
| A Plain-Spoken Wrap Report:Following the event, you'll get real feedback on how check-in went and any adjustments needed for future events. | Transaction-focused:Many agencies will simply send a short email confirming the change took place, and then that's it. |
Chicago Check-In Staffing That Stays Strong
The check-in may seem smooth until a snowstorm hits and half your attendees are delayed and everyone arrives at once in a fifteen-minute window. It takes folks who have a steady hand when the line is a dozen deep, know how to troubleshoot behind the scenes, and can smile in the face of outside issues and a tight timetable. We subject each of our staff to background checks and training appropriate to their level of service, from boardroom luncheon to at-capacity opening.

Frequently Asked Questions
Based on
Hiring Check-In Staff in Chicago
It depends on how many people you're expecting, how fast they all arrive, and the number of check-in stations you have in place. A standard guide can be one staff member per 100-150 guests arriving for that time window, plus additional people for VIPs, will-call, and kiosks. Big or busy events typically require more than one. We'll help you figure out what you need.
Absolutely. Once we're down the line, several members of our team are available for wayfinding, coat check, greeting or other specific requests from your event lead. We're clear about what we're able to do and will have discussed all details with your event lead beforehand to avoid any surprises.
Yes. Guest lists at Chicago can be as diverse as the city itself, and we can usually source Mandarin, Polish, and many other languages depending on the event. Spanish-speaking staff are already on our books, and other languages can be sourced with time. Just let us know what you need!
Yes. Conventions and trade shows are by far the most common Chicago reservations we make, particularly at large venues such as McCormick Place during season when shows are on the most. Show season mixes a large flow of visiting attendees with intense demands from show-related vendors for everything from show credentials to post-show move-in, and our team is skilled at working efficiently to serve both groups.
We intentionally build in additional buffer for snow and wind, L and Metra delays, and event day traffic into our staffing schedules, and distribute the venue access information well in advance of the event. When setup time is tight, we build in additional advance time and have backup staff on hand if the weather or transit alters our plans.
YES! We work events all over the Loop, River North, the West Loop, Lincoln Park, and Evanston and in the suburbs in Rosemont, Schaumburg, and Oak Brook! No matter where you're hosting, we organize the team so that all logistics (including time and parking) are based on the location of your event! Just give us the venue early on!
Most of the time, yes, but it depends on the time until your event and the number of people required. For last-minute requests, we prefer a phone call as it will allow us to respond faster. We ensure that every booking, even those made on very short notice, is led by a well briefed team, as quality takes priority over time.
Our team is familiar with standard registration applications, your tablet check-in software, QR and barcode scanners and badge printers. We conduct a brief tutorial of your system in advance of the event. Guest information is only provided to staff who need access to it, and we communicate clearly with you about what expectations you have around data management before the event.
