Terms & Conditions

Welcome to LUXE Event Staffing ("LUXE," "we," "our," or "us"). By seeking to book our services, and/or otherwise requesting a booking, through using our website, or through using our staff, you ("Client," "you," or "your") agree to be legally bound by these Terms and Conditions. Please read these Terms and Conditions thoroughly before agreeing to any service agreement: 

1. Acceptance of Terms 

You agree that by executing a services agreement, submitting an invoice, or through the use of staffing services of LUXE Event Staffing, you have read, understood, and agree to be bound by the Terms & Conditions herein. If executing this agreement on behalf of a corporation/causae/other legal entity, you warrant that you have full authority to bind such legal entity to the terms herein. 

2. Scope of Services 

LUXE Event Staffing supplies professional, safety-screened, and insured event staff, including registration hosts, session assistants, VIP concierges, brand ambassadors, and support crews for corporate galas, private events, product launches, and elite tournaments. 

The provision of all services is subject to a proposal, statement of work, and/or booking confirmation ('the Proposal'), all of which have been agreed by the Client and the Service Provider. 

We may deny service or withdraw personnel if conditions during the event fall below the standards prescribed by safety, employment regulations, or business ethics. 

3. Bookings, Proposals, and Confirmations 

Proposal Validity: Service proposals and rate quotes are valid for thirty (30) days from the date of issue unless otherwise noted in writing. 

Confirmation: A reservation is only guaranteed once we have received both a signed agreement and the deposit/retainer payment. 

Staffing Changes: All changes to the number of guests, event times, venues, and staffing ratios must be requested in writing no less than seventy-two (72) hours before the event. Adjusted fees may apply. 

4. Billing, Fees, and Payment Terms 

Invoicing: Invoices are generated according to the contract agreement. Our standard payment methods are deposit in advance of the event and balance due before or upon completion/settlement in accordance with net terms if explicitly mentioned in your contract. 

Overtime & Extra Hours: If an event extends beyond the allotted time or if Staff are asked to stay on site for longer than this, overtime rates will be charged. 

Late Payments: All unpaid charges beyond the due date may be subject to late fees, as set forth by the law, along with suspension from booking in the future. LUXE will not be responsible for any collection or legal fees necessary in order to recover delinquent funds. 

5. Cancellation, Rescheduling, and Refund Policies 

As we co-select & reserve the best, highly-specialized experts solely for your use, cancellations affect our workforce administration dramatically: 

Client-Initiated Cancellations: Deposits (and possibly administrative fees to cover pre-paid staff) will be forfeited for cancellations made outside of the designated time period (as delineated in your specific service contract). 

Changes to Schedules and Events: Changes to booked events must be made in writing, and rescheduling is subject to commercial reasonableness, but we are not able to arrange for the same people and persons requested for the first event to be available on a rescheduled date. 

Force Majeure: Neither party shall be responsible for any non-performance or delay in performance due to acts of God, natural disasters, natural weather emergencies, government restrictions, or any other circumstance outside of its control. 

6. Client Responsibilities & Venue Safety 

The Client shall be solely responsible for ensuring safe, compliant, and professional working conditions for all LUXE personnel. 

Safe Working Conditions: The place where you will volunteer should adhere to all health, safety, and labor codes observed in your community. 

Breaks and Meals: For hours over the standard shift, the Client shall permit staff protected breaks for rest and mealtime, per labor law requirements, and provide proper hydration facilities. 

Threatened & Harassment Free Environment: LUXE will not tolerate harassment, discrimination, or any other unsafe work environment. If a staff member is intimidated or works under threatening working conditions, you agree to LUXE removing the staff member immediately from the site at no cost to LUXE. 

7. Staff Conduct, Supervision, and Replacements 

Standards of professionalism: All LUXE staff are trained, ready to go in our client’s agreed-upon dress standards and briefed on event details, name tags, and badges. 

On-Site Management: When needed, LUXE supplies trained supervisors or team leads to oversee staff placement and workflow. Customer shall agree to communicate operational feedback on smooth operations to team leads or the staff supervisor directly, instead of communicating directly with individual staff members whenever reasonably possible. 

Emergency Replacements: Should unforeseen circumstances, such as staff shortages or transit delays occur, LUXE will have procedures in place to bring in professionally trained replacement staff at short notice to maintain uninterrupted event progress. 

8. Independent Contractor Status 

LUXE Event Staffing is a stand-alone company. All event staff supplied by LUXE are direct W-2 employees or carefully screened independent contractor specialists properly classified according to the law. Payroll processing, taxes, worker compensation, insurance, and compliance are the sole responsibility of LUXE so that the Client is not a party. 

9. Limitation of Liability & Indemnification 

Exclusion of Liability: LUXE Event Staffing shall not be liable for any damages in excess of the actual amounts paid by the Client to LUXE for the event in which the damages are claimed. LUXE shall not be liable for any indirect damages, incidental damages, consequential damages, or punitive damages. 

Client Indemnification: Client will indemnify, defend, and hold harmless LUXE Event Staffing, together with officers, directors, employees, and agents from any claims, liabilities, damages or expenses of whatever kind, including without limitation, any reasonable attorneys' fees, resulting from or due to the Client's negligence, breach of contract, unsafe venue conditions or failure to comply with any applicable law. 

10. Confidentiality & Intellectual Property 

Discretion: The privacy of our clients, venues & any high-profile guests attending is of the utmost importance to LUXE, and as such, all members of staff are not permitted to discuss basic business information, private guest lists, and event details without the permission of management. 

Marketing Media: LUXE may, at its discretion, take general photographs or video of the event setups and personnel uniforms for use in promotional portfolios when no proprietary client information, security concerns, or private guest images are revealed. 

11. Modifications to Terms 

LUXE Event Staffing may change these Terms and Conditions at any time. Any change shall be posted to our website, email, or other electronic media with the indication of the modification's effective date. A Customer's use of our services after a change indicates acceptance of the change. 

12. Governing Law & Dispute Resolution 

The Terms and Conditions shall be interpreted under the governing laws in the jurisdiction where LUXE Event Staffing is based, excluding any principles of conflicts of law. Any legal action or proceeding to enforce the terms shall be brought exclusively in the federal or state courts in the jurisdiction of our principal place of business, and both parties consent to jurisdiction therein.
